Job Description
Supervises the
administration of State budgets (OPS, OE, OCO) for ZOO (including SHKML),
Grant and Contract budgets for these divisions and the ACSTC, and also monitors
adherence to UF's Cost Accounting Standards.
Coordinates the administrative functions of the Department of Zoology (ZOO) and
three associated units: the Biological Sciences Program (BSP), the Sea Horse
Key Marine Laboratory (SHKML), and the Archie Carr Sea Turtle Center (ACSTC).
Provides administrative assistance to the Chair of ZOO, Coordinator of the BSP,
Director of the SHKML, and the Director of the ACSTC, interfacing these divisions
with the College of Liberal Arts and Sciences, the Office of Research and Graduate
Education, IFAS, School of Medicine, Academic Personnel, Academic Affairs, Registrar,
Student Services, Central Employment, Finance and Accounting, Physical Plant
Division, JWRU, International Studies, Property Control, and the general public.

Acts as the Affirmative Action Officer. Responsible for interpreting administrative
and fiscal rules and policies for these divisions and for recommending new and
improved programs to effectively manage the staff listed below, including the
coordination of advertisement for and interview of staff replacements.
Oversees personnel appointment processing, meets regularly with staff, does performance
evaluations, and resolves problems between staff members or between staff and
faculty or graduate students, coordinates leave among staff, coordinates new
and cross training of staff, and arranges for recognition and advancement of
staff.
Oversees payroll certification and authorization and coordinate worker's comp
reports/claims.
Coordinates and/or completes academic administrative reports as requested/required
by CLAS, RGE, UF, the state, and granting agencies, in most cases assisting the
Chair, Coordinator, and Directors (as outlined above) as needed. These reports
require research of records and collection and analysis of data before submission.
Maintains databases for future reports and grant proposals as needed. Examples
of such reports include: faculty search materials, personnel appointments, faculty
tenure and promotion, payroll certifications, payroll distributions, faculty
semester assignments, academic and non-academic activities reports, scheduling
of courses, online grade reporting, instructor work-load reports, graduate student
letters of appointment, space allocation and distribution, and Annual Academic
Progress Reports for ZOO and BSP.
Coordinates tenure and promotion function.
Serves as an ex officio member of most ZOO committees to provide information
as needed and coordination among the committees and between the committees and
the Chair. For example, this position will work with the Space Committee to coordinate
room requests from faculty and assignments for faculty and graduate students.
Responsible for interpreting administrative and fiscal rules and policies from
CLAS and UF, especially with regard to personnel, and implements new policies
as needed and works with the Chair, Coordinator, and Directors in policy-making
when appropriate.
